Event Coordinator - BBI Logistics

We are seeking a highly skilled Event Coordinator to manage our amenity space, ensuring seamless execution of events and maintaining control over budgets and timelines. The Event Coordinator will be responsible for overseeing the planning and execution of all events in our new HQ at Astor Park. This role requires meticulous attention to detail, excellent organizational skills, and the ability to manage multiple tasks under pressure. The ideal candidate will have a proven track record in event planning and a customer service mindset.
What you’ll be doing.
Develop a complete understanding of the requirements for every event
Identify, negotiate, and manage relationships with vendors, suppliers, and contractors to secure event-related services and materials
Book venues, schedule guests, draft and finalize contracts, and lock down day-of logistics
Develop content for event materials with marketing team and implement event marketing strategies
Manage attendee registration, communication, and follow-up, and ensure a positive experience for all attendees
Oversee event setup, execution, and breakdown
Managing the setup and operation of audio/visual equipment
Other duties as assigned
What you bring to the table.
1-3 years of experience in event planning or event coordination, preferably in a corporate environment
Bachelor’s degree (or equivalent) in Hospitality, Marketing, Event Management or a related field
You have a customer service mindset
Proven track record of creative, successful events
Excellent organizational, multitasking and problem-solving skills with a high attention to detail
You remain calm under pressure, are highly motivated and proactive
You are a strong team player with the ability to work independently
You have flexibility to work events and weekends as needed for events
